Terms & Conditions

Welcome to Mwewe Expeditions. These Terms & Conditions set out the basis on which we provide safari, trekking, cultural, beach, and other travel experiences in Tanzania.

By making a booking with Mwewe Expeditions Limited, you confirm that you have read, understood, and accepted these Terms & Conditions.

1. About Mwewe Expeditions

Mwewe Expeditions Limited is a Tanzania-based tour operator providing travel experiences including wildlife safaris, mountain trekking, cultural tours, beach safaris, and other travel arrangements.

For the purpose of these Terms & Conditions, "Mwewe Expeditions", "we", "us", or "our" refers to Mwewe Expeditions Limited. "Client", "traveller", "you", or "your" refers to the person making a booking and all travellers included in that booking.

2. Booking and Confirmation

A booking request may be made through our website, email, telephone, WhatsApp, or other approved communication channels.

A booking is considered confirmed only after:

  • We have confirmed the availability of the requested services; and

  • The required deposit or payment has been received; and

  • We have issued booking confirmation or otherwise confirmed the arrangements in writing.

A quotation or itinerary provided before confirmation is not a guarantee of availability or price.

All arrangements are subject to availability at the time of confirmation.

3. Deposit and Payment

Unless otherwise agreed in writing, a 40% advance deposit is required to confirm a booking.

The remaining balance must be paid according to the payment schedule stated in the booking confirmation or invoice.

Some services, accommodation providers, airlines, permits, or other suppliers may require different payment conditions. Where applicable, these conditions will be communicated to the client before confirmation.

A booking is not considered fully secured until the required payment has been received.

Any bank charges, payment processing fees, currency conversion costs, or other charges associated with payment may be the responsibility of the client unless otherwise agreed.

4. Prices and Inclusions

The price of your trip will be stated in the quotation, proposal, invoice, or booking confirmation issued by Mwewe Expeditions.

Unless specifically stated otherwise, prices may include the services listed in the confirmed itinerary.

Depending on the package, inclusions may include:

  • Accommodation

  • Meals specified in the itinerary

  • Safari transportation

  • Professional safari guide services

  • Park and conservation fees

  • Activities specifically listed in the itinerary

  • Airport or other transfers where specified

Items not specifically listed as included are generally excluded.

Common exclusions may include international flights, visas, travel insurance, personal expenses, alcoholic beverages, laundry, tips, optional activities, medical expenses, and other services not stated in the confirmed itinerary.

5. Changes to Prices

We make every effort to maintain the prices stated in our quotations. However, prices may change before booking confirmation because of changes imposed by accommodation providers, airlines, park authorities, government fees, taxes, conservation charges, fuel costs, currency fluctuations, or other suppliers.

Once a booking has been confirmed, any unavoidable additional costs will be communicated to the client as soon as reasonably possible.

6. Itinerary Changes

Safari and travel conditions can change due to weather, wildlife movements, road conditions, park regulations, conservation requirements, accommodation availability, safety considerations, or other circumstances beyond our reasonable control.

We reserve the right to make reasonable changes to an itinerary when necessary to protect the safety and interests of our clients or to ensure the smooth operation of the trip.

Where a change is necessary, we will make reasonable efforts to provide an alternative arrangement of comparable value.

Wildlife sightings, including sightings of the Big Five or specific animals, cannot be guaranteed because wildlife moves freely in its natural environment.

7. Accommodation

Accommodation will be provided according to the category and properties specified in the confirmed itinerary, subject to availability.

If the specified accommodation becomes unavailable, we may arrange alternative accommodation of a similar standard where reasonably possible.

Accommodation check-in and check-out times are determined by the relevant property.

Special requests, including dietary requirements, room preferences, honeymoon arrangements, or accessibility needs, should be communicated to us as early as possible. While we will make reasonable efforts to accommodate such requests, they cannot always be guaranteed.

8. Transportation

Safari vehicles and other transportation will be selected according to the nature of the trip and the itinerary.

Travel in Tanzania may involve long distances, unpaved roads, uneven terrain, and changing road conditions. Journey times provided in itineraries are estimates and may vary.

Clients are expected to follow reasonable safety instructions given by their driver, guide, or other trip representatives.

9. Mountain Trekking

Mountain trekking involves inherent physical risks and challenging environmental conditions.

Clients participating in Kilimanjaro, Mount Meru, Oldoinyo Lengai, Usambara, or other trekking activities are responsible for ensuring that they are physically and medically capable of participating.

Clients should disclose relevant medical or physical limitations to Mwewe Expeditions before the trip where these may affect their safety.

Our guides may recommend changes to, or withdrawal from, a trekking activity if they reasonably believe that continuing would present a serious safety risk.

Additional costs arising from evacuation, rescue, medical treatment, accommodation, transportation, or other emergency arrangements may be the responsibility of the client where they are not covered by insurance or included in the booking.

10. Travel Documents and Entry Requirements

Clients are responsible for ensuring that they have valid travel documents required for their journey.

This may include:

  • A valid passport

  • Appropriate visas or permits

  • Required vaccinations or health documentation

  • Travel insurance

  • Any other documents required by Tanzanian authorities or transit countries

Mwewe Expeditions may provide general travel information, but responsibility for obtaining and maintaining valid travel documents rests with the client.

We are not responsible for costs resulting from a client's failure to obtain the required documentation.

11. Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance before travelling to Tanzania.

Insurance should, where appropriate, provide cover for medical treatment, emergency evacuation, trip cancellation, interruption, lost or damaged baggage, personal belongings, and other risks associated with travel and adventure activities.

Clients are responsible for checking that their insurance provides adequate coverage for the activities included in their itinerary.

12. Health and Medical Conditions

Clients are responsible for informing us of any medical, dietary, mobility, or other special requirements that may reasonably affect their trip.

Mwewe Expeditions is not a medical provider and cannot provide medical advice.

Clients should consult an appropriately qualified medical professional before undertaking activities involving significant physical exertion, including mountain trekking.

13. Cancellation by the Client

Cancellation requests must be submitted to Mwewe Expeditions in writing. The cancellation date will be determined by the date on which the written cancellation request is received.

Unless otherwise stated in the booking confirmation, the following general cancellation and refund conditions apply:

  • Full refund: Cancellations received at least 3 months before the scheduled safari start date are eligible for a 100% refund of the amount paid, subject to any non-refundable third-party fees or charges.

  • 50% refund: Cancellations received at least 1 month before the scheduled safari start date are eligible for a 50% refund of the amount paid, subject to any non-refundable third-party fees or charges.

  • No refund: Cancellations received within 7 days of the scheduled arrival or safari start date are non-refundable.

For cancellations received between the periods specified above, the applicable refund will be determined based on the booking terms, supplier cancellation policies, and costs already incurred or committed by Mwewe Expeditions.

Any refund may be reduced by:

  • Non-refundable accommodation or supplier charges;

  • Park entry, conservation, permit, transport, or activity fees that cannot be recovered;

  • Payments already made to secure services on behalf of the Client; and

  • Any other reasonable costs incurred by Mwewe Expeditions that cannot be recovered following cancellation.

The specific cancellation and refund conditions applicable to a particular booking will be communicated in the booking confirmation where they differ from these general Terms & Conditions. Where such specific conditions apply, they will take precedence over the general cancellation terms stated above.

14. Cancellation or Changes by Mwewe Expeditions

We reserve the right to cancel, suspend, or substantially modify a trip where circumstances make it necessary, including safety concerns, government restrictions, natural events, supplier failure, or other circumstances beyond our reasonable control.

Where we cancel a confirmed trip for reasons within our reasonable control, we will make reasonable efforts to offer an appropriate alternative or refund applicable amounts after deducting any non-recoverable costs.

Where cancellation or changes arise from circumstances beyond our reasonable control, our obligations will be determined by the circumstances, applicable supplier terms, and applicable law.

15. Force Majeure

Mwewe Expeditions shall not be responsible for failure, delay, or changes to travel arrangements caused by circumstances beyond our reasonable control.

Such circumstances may include, but are not limited to:

  • Severe weather

  • Natural disasters

  • Epidemics or pandemics

  • Government restrictions

  • Political instability

  • Civil unrest

  • Strikes

  • Road closures

  • Changes in park regulations

  • Closure of tourist attractions

  • Transport disruptions

  • Fire

  • Flooding

  • Security threats

  • Supplier failure

  • Other extraordinary circumstances beyond our reasonable control

We will make reasonable efforts to assist clients and find practical alternatives where possible.

16. Client Responsibilities

Clients are expected to:

  • Follow the instructions of guides and other authorized representatives;

  • Respect local communities, cultures, wildlife, and the environment;

  • Follow national park and conservation rules;

  • Behave responsibly toward other travellers and staff;

  • Take reasonable care of accommodation, vehicles, equipment, and other property;

  • Provide accurate information required to arrange the trip; and

  • Comply with applicable laws and regulations.

We may terminate a client's participation in a trip where their conduct creates a serious safety risk, damages property, violates applicable law, or materially affects the experience or safety of other travellers.

No refund will necessarily be provided where a client is removed from a trip because of serious misconduct.

17. Wildlife and Nature

Safari activities take place in natural environments where conditions cannot be fully predicted or controlled.

Wild animals are unpredictable, and clients must follow all instructions provided by their guide.

Mwewe Expeditions cannot guarantee sightings of particular animals, specific wildlife behaviour, weather conditions, or other natural events.

Our guides will make reasonable efforts to provide the best possible wildlife experience while prioritizing client safety and responsible tourism practices.

18. Personal Belongings

Clients are responsible for their personal belongings, valuables, money, passports, electronic devices, luggage, and other property during their trip.

Clients should take reasonable precautions to protect their belongings.

Mwewe Expeditions is not responsible for loss, theft, or damage to personal property except where liability cannot legally be excluded.

19. Photography and Media

Mwewe Expeditions may take photographs or videos during trips for operational, promotional, or marketing purposes.

Where appropriate, we may use such content on our website, social media channels, brochures, or other promotional materials.

If a client does not wish to appear in promotional photography or video, they should inform us before or during the trip.

Clients who provide photographs, videos, reviews, or other content to Mwewe Expeditions confirm that they have the necessary rights to share that content and permit us to use it for legitimate business and promotional purposes, unless otherwise agreed.

20. Third-Party Suppliers

Some services included in a trip may be provided by independent third-party suppliers, including accommodation providers, airlines, transport companies, activity providers, and other tourism service providers.

We select suppliers with reasonable care and will work with them to deliver the services described in the confirmed itinerary.

Where a service is supplied by a third party, the supplier's own terms and conditions may also apply.

21. Complaints

We want every client to have a positive experience.

If you experience a problem during your trip, please inform your guide or Mwewe Expeditions representative as soon as reasonably possible so that we have an opportunity to address the issue while the trip is taking place.

If the matter cannot be resolved during the trip, a formal complaint should be submitted to us in writing as soon as reasonably possible after the trip.

We will review complaints fairly and make reasonable efforts to resolve legitimate concerns.

22. Liability

Mwewe Expeditions will exercise reasonable care in arranging and providing the services included in a confirmed booking.

However, travel involves inherent risks, particularly wildlife safaris, mountain trekking, outdoor activities, and travel on remote roads.

To the extent permitted by applicable law, Mwewe Expeditions will not be responsible for losses arising from circumstances beyond our reasonable control or from the acts or omissions of independent third-party suppliers.

Nothing in these Terms & Conditions is intended to exclude or limit liability where such exclusion or limitation is prohibited by applicable law.

23. Personal Data and Privacy

We collect and process personal information where necessary to communicate with clients, arrange travel services, process bookings, provide customer support, and meet legal or operational requirements.

Personal information is handled in accordance with our Privacy Policy and applicable data protection requirements in Tanzania.

By making a booking, clients acknowledge that certain personal information may need to be shared with relevant service providers where necessary to arrange the requested travel services.

24. Website Information

We make reasonable efforts to ensure that information published on the Mwewe Expeditions website is accurate and up to date.

However, travel information, prices, availability, park regulations, accommodation details, schedules, and other information may change.

Website content should not be considered a binding offer unless specifically confirmed in writing by Mwewe Expeditions.

25. Intellectual Property

Unless otherwise stated, the content published on the Mwewe Expeditions website, including text, photographs, graphics, logos, branding, and other materials, belongs to Mwewe Expeditions or is used with appropriate permission.

Website content may not be copied, reproduced, distributed, modified, or commercially used without prior written permission.

26. Governing Law

These Terms & Conditions and any booking made with Mwewe Expeditions shall be governed by the laws applicable in the United Republic of Tanzania.

Any dispute arising from a booking will first be addressed through good-faith communication between the parties. Where a dispute cannot be resolved amicably, it may be referred to the appropriate authorities or courts with jurisdiction under applicable Tanzanian law.

27. Changes to These Terms & Conditions

Mwewe Expeditions may update these Terms & Conditions from time to time to reflect changes in our services, business practices, legal requirements, or applicable regulations.

The version applicable to a booking will generally be the version in effect at the time the booking is confirmed, unless otherwise required by law or agreed in writing.

28. Acceptance of Terms

By submitting a booking request and making the required payment, you acknowledge that you have read, understood, and accepted these Terms & Conditions.
